Your new employer is a local, well known and reputable private skin cancer clinic looking to expand in 2018 and seeking a polished professional to join their growing team.

Your Exciting, New Role

Reporting directly to the Practice Manager, you will be responsible for managing all aspects of the reception area while providing office management support to the Practice Manager, Principal Doctor and nurses. Providing absolute accuracy and attention to detail, you will ensure smooth operation in a clinic that is computerised, paperless and uses Medical Director and Pracsoft programs.

Your duties will include:

  • Welcoming patients/visitors and ensuring their smooth flow through the practice
  • Managing patient appointments - Optimising patients’ satisfaction, provider time, and treatment room utilization by scheduling appointments in person or by telephone.
    • Effectively communicating with all staff and patients while upholding the practice’s professional image
      • Managing a multi phone system and directing inquiries as appropriate
      • Ensuring the smooth running of the day to day processes in a busy medical clinic
      • Managing patient information by collecting, recording and updating personal and financial information accurately
      • Maintaining strict confidentiality at all times
      • Processing incoming and outgoing mail
      • Maintaining business office inventory and equipment by checking stock to determine inventory level, anticipating needed supplies, placing orders for supplies, and verifying receipt of supplies.
      • Scheduling equipment service and repairs.
      • Liaising with service providers as needed
      • Maintaining operations by following the Practice policies and procedures and reporting any changes that may be needed.

The Skills You Bring

To be considered for the role, you will ideally have a minimum of 2 years’ experience working in a Medical Practice environment.

A completed certificate in Business Administration would also be advantageous.

You will be:

  • Experienced in providing high level reception support and proficient in managing an office environment, in particular being a forward thinker and multi tasker
  • An excellent communicator with high level customer service skills and time management capabilities
  • Exceptionally well presented with a professional phone manner
  • Caring and compassionate while maintaining strict professional boundaries
  • Highly motivated with a very positive attitude to establish yourself within the Practice
  • Comfortable working both autonomously and as part of a team
  • Flexible and willing to undertake further training
